How do I track expenses and see what a deal made?
File receipts and kilometres on Expenses, and see what each deal left on the deal's Costs & margin card.
File a receipt
- 1Open Expenses in the sidebar, or under More on a phone.
- 2Press Scan a receipt and take a photo, or pick one you already have. You can pick several and they are read one after another.
- 3The total, the tax, the date and the vendor are read into the form, with a category picked for you. Check every figure against the paper. Anything that could not be read is left blank.
- 4Press Add. Nothing is saved until you do.
Note: the photo is kept with the expense. Open the expense and press View the receipt to show it to your accountant. Deleting the expense deletes the photo too. A PDF receipt cannot be read yet, so enter its figures with Add.
Other ways to file
- Add opens the same form empty.
- Kilometres logs a drive. The claim is the distance times the rate per kilometre, which starts at the Canada Revenue Agency allowance and can be changed on a computer.
- For a subscription, open More details and tick Charges every month. It is entered once and counted for every month it runs.
- If the same amount was filed within four days, the form warns you. Press Add again to file it anyway.
Costs on a deal
- 1Open a listing or a buyer deal and find the Costs & margin card.
- 2Press Add a cost to file one against that deal. Or set Spent on a deal on any expense.
- 3The card walks the commission down: the brokerage split, the desk fee, what you earned and what you spent, ending in the net and the margin.
- 4A deal that really had no costs? Press No costs on this deal, so its margin is shown as final rather than held back.
What each deal left, and the year
- On Expenses, What each deal left lists every deal with a cost against it. A deal still running shows what has been spent so far, not a loss.
- If you are registered for HST, HST to claim shows the tax you entered or that was printed on receipts. Not registered? Untick Registered for HST on a computer.
- At tax time, press Export for the accountant on a computer for a spreadsheet of the year.
- The Business page has a short summary, What it costs to run, that links back here.
If that doesn't work
- The Business summary shows a margin of 100 percent when you have filed no expenses yet. That only means nothing has been filed; add your expenses and it corrects itself.
- A receipt was read wrong: fix the figures in the form before pressing Add, or open the expense later and edit it.
- You cannot remove a category under Your categories: something is still filed under it. Move those expenses first.
- You see "That image is too large. Try a photo under 4MB.": take the photo again a little further away, or use a screenshot of it.
