In short
- Agree how and when you will update your seller before the listing goes live.
- Give your seller one place to look, so they are not searching texts and email threads.
- Update at least once a week while the listing is active, on the same day each week.
- Once an offer is accepted, update by date: each condition deadline and the closing.
- In Gable each seller has a private portal that follows the listing, with no app and no password.
Set expectations on day one
Most seller frustration is about silence, not results. Before the listing goes live, tell your seller three things: where they will find updates, how often they will hear from you, and what you will call them about straight away, such as an offer.
In Gable
On the listing, press Add your seller, then Add seller, then Invite to portal. The invite comes from you, and the link opens their portal with no password. Your brokerage mailing address has to be in your profile first, because it goes in the footer of every client email.
A rhythm from listing day to closing
| Stage | How often | What it covers |
|---|---|---|
| Before listing | How often: As each step is done | What it covers: Photos, the listing details, documents to sign, the go live date |
| First week live | How often: Every two or three days | What it covers: Views, the first showings and the first feedback |
| While active | How often: Weekly, on a fixed day | What it covers: The week in numbers, showings, feedback, comparable listings, next steps |
| Offer accepted | How often: At each date | What it covers: Each condition and its deadline, then the closing |
| Closing week | How often: Daily, if needed | What it covers: Final steps, keys and closing day |
Keep a seller updated in six steps
Step 1: Give your seller one link
Invite them to a portal they can open any time. In Gable, it shows their listing’s numbers, showings and the feedback you share, and the next steps, under your name and your branding.
Step 2: Show the plan, not only the results
Sellers relax when they can see what comes next. Gable gives every listing a roadmap of tasks from your template; your seller sees only the tasks with the Client switch on, worded for them, and your private tasks stay with you.
Step 3: Report every week on the same day
Send the week in numbers, the showings, what buyers said and what you did. Gable drafts it each week; you read it, change a word if you want, and it is ready in their portal. Up to three short updates go out each week, Monday, Wednesday and Friday, and you choose which ones each listing sends.
Step 4: Share feedback as it arrives
Do not save it all for the weekly report. In Gable, a showing’s feedback appears in the portal the moment you press Show to seller.
Step 5: Switch to dates once an offer is accepted
From here the seller cares about deadlines. Gable counts down each condition and the closing, and sends your seller a reminder a week, three days and one day before each condition deadline, and five, three and one day before closing, plus a note on closing day. Mark waived on a condition tells them it is done.
Step 6: Close the loop after closing
Thank them, and tell them what they can still find. A seller’s portal stays open for 90 days after closing, then becomes read only.
What a seller sees in their portal
- Performance: views, showings, saves and the number of offers, week by week.
- Showings: each visit, with the feedback you chose to share.
- Your market: the comparable listings you chose to watch, when you have chosen some.
- What’s next: the roadmap, your next step, appointments, condition dates after an accepted offer and shared documents.
A tab appears only once it has something in it, so a new listing’s portal is short rather than empty. Your notes, costs, margin and private tasks never appear.
Four mistakes that make sellers anxious
- Going quiet in a slow week. Say it was quiet, with the numbers, and what you are changing.
- Updates in five places. Texts, emails and calls get lost; one portal does not.
- Numbers that disagree. If the report says one figure and a call another, trust goes first. Count each figure in one place.
- A zero for a week nobody measured. Say the figure was not measured; Gable does this for you.
