Weekly seller report template for realtors

The eight sections a weekly seller report needs, an outline to copy, and the numbers that go in each.

Updated · 6 minute read

In short

  • Send the report on the same day every week, so your seller knows when to look.
  • Lead with a two or three sentence note in your own words, then the numbers.
  • Report the week’s figures beside the running total: views, saves, showings and offers.
  • A figure you could not measure this week says "not measured", never zero.
  • Close with what happens next and when you will be in touch.
  • Gable drafts the report each week from the listing’s activity; you edit the note before your seller reads it.

What a weekly seller report is for

A seller who hears nothing assumes nothing is happening. A weekly report answers the questions they would otherwise call about, in the same order every week: how many people looked, who came through, what they said, and what you are doing next.

It works when it is regular, short enough to read on a phone, and honest about the numbers, including the weeks that were quiet.

The template

Copy this outline into your own email or document, and fill in the brackets each week. The sections are in the order sellers read them.

Online views in Canada come from the listing’s REALTOR.ca Listing Statistics report, published week by week. If a week’s figure has not arrived, leave it out or say it was not measured. A zero tells your seller nobody looked, which is a different message.

Write and send the report in five steps

  1. Step 1: Pick a day and keep it

Monday works for most listings: it reports the weekend’s showings and sets up the week. Whatever day you choose, keep it.

  2. Step 2: Gather the week’s figures

Collect the views and saves, count the showings and offers, and pull the feedback you are sharing. In Gable this is already done: each figure is counted once, so the report, the seller’s portal and your own screen show the same number.

  3. Step 3: Write the note last

With the numbers in front of you, write two or three sentences on what they mean. In Gable the note is drafted from the week’s activity; change a word or write your own in Monday report summary, then press Save summary.

  4. Step 4: Check it as your seller will see it

Read it on a phone before it goes. In Gable, Send test to me sends a copy to you alone, marked as a test, and Report sections switches off any section that does not suit this listing.

  5. Step 5: Share it under your name

The report should carry your name, photo, brokerage and colours. In Gable it does, and it is ready in your seller’s portal each week. On a week you would rather talk in person, press Skip this week.

How Gable builds it each week

In Gable

Gable keeps the showings, the feedback you shared, the listing’s views and saves, the comparable listings you chose and your roadmap on one listing, and assembles the report from them every week. Your seller opens it in their portal with no app and no password, under your name and your branding. Up to three short updates go out each week, Monday, Wednesday and Friday, and you choose which ones each listing sends. See a finished one in the sample report.
