How do roadmaps work, and how do I edit the tasks?

Every listing and buyer deal gets its stages and tasks from a roadmap template, and you edit those templates in Roadmaps.

The roadmaps you start with

  • A new account starts with three: Seller roadmap for freehold listings, Condo seller roadmap for condos and Buyer roadmap for buyer deals.
  • A new listing gets the template for its property type. A buyer gets the buyer roadmap.
  • The seller roadmaps run through four stages: Pre-listing prep, Active on market, Clearing conditions and Firm and closing. The condo one adds the status certificate, the fee, parking and locker details, and booking the elevator for move day.

Steps

  1. 1On a computer, open Roadmaps in the sidebar. You see Transaction roadmaps.
  2. 2Open a template and stay on Edit.
  3. 3To add a task, type it in Add a task to this stage under the right stage and press Add task.
  4. 4To change a task, edit its name, use Move up or Move down, or delete it.
  5. 5Set Due to tie a task to a date on the deal, such as from closing date or from offer accepted, and enter the number of days. A negative number is before the date: minus 14 means two weeks before closing. Leave it on no date for tasks you do whenever.
  6. 6Set For to Agent or Assistant. On a team with someone named for assistant work, Assistant tasks go to that person.
  7. 7Switch to Client view at the top to see exactly what a seller will read.

Note: a new task starts with its Client switch on, so it shows on your seller's roadmap. Turn it off for internal steps, or fill in Client sees with plain wording for the seller. See How do I hide internal tasks from my seller?.

Your changes and your live deals

  • A task you add to a template is added to every active listing and buyer that uses it.
  • A change to when a task is due reaches the open copies of that task on those deals.
  • Closed, terminated, expired and archived deals are left alone.
  • A task that names a status certificate, a condo or an elevator only goes on condo deals. Freehold and vacant land listings and buyer deals skip it, so one roadmap can serve both. A deal with no property type, new construction or investment gets every task.
  • To start a template from nothing, press New template, choose the Template type (Listing or Buyer) and the property type, then press Create template.

On the deal itself

  • A listing's Roadmap tab holds its tasks. Tick a task off there, on the Dashboard or on Tasks; the seller's roadmap moves along with it.
  • If the tasks look out of date, press Sync on the listing's Roadmap card. It adds what is missing and says Already up to date when nothing is.

If that doesn't work

  • You cannot edit a template: on a team, only the owner and Admins edit roadmaps. Agents can read them. On a phone, roadmaps are read only.
  • A listing has no tasks: see My tasks are empty, or template tasks are missing.
  • You see "Could not create template": refresh the page and try again.
